BASIC FUNCTION OF THE JOB
The Import–Export Specialist II is responsible for managing end‑to‑end import and export operations for the manufacturing site, ensuring full compliance with Vietnamese customs regulations, company policies, and global trade requirements.
This role coordinates closely with internal departments, logistics providers, and industrial park authorities to ensure timely, accurate, and cost‑effective shipment planning, documentation, and reporting.

KEY RESPONSIBILITY
Import & Export Operations
  • Coordinate and execute daily import and export activities, including customs declarations, shipment scheduling, and documentation preparation (commercial invoice, packing list, COO, HS code verification, etc.).
  • Monitor shipment status, ensure on‑time delivery, and troubleshoot delays or logistics issues.
  • Review and validate import/export documentation for accuracy and compliance.
  • Maintain accurate records of all import/export transactions for audit and statutory reporting.
  • Prepare and submit monthly, quarterly, and annual import‑export reports to corporate headquarters and relevant government agencies.
Customs & Regulatory Compliance
  • Ensure compliance with Vietnamese customs laws, import/export regulations, and trade compliance policies.
  • Stay updated on regulatory changes (tariffs, duties, export controls, trade agreements) and communicate impacts to management.
  • Work with customs brokers and authorities to handle customs inspections, tax matters, and clearance issues.
  • Verify HS codes, import duties, tax exemptions, and compliance programs where applicable.
Internal Coordination & Cross-Functional Support
  • Collaborate with Planning, Warehouse, Procurement, Finance, and Production to ensure seamless supply chain flows.
  • Support Finance with duty/tax reconciliation, documentation for VAT refund, cost control, and month-end closing.
  • Work with Warehouse teams on inbound/outbound material verification and inventory accuracy.
  • Provide guidance to internal teams on compliance best practices and documentation requirements.
External Stakeholder Management
  • Liaise with forwarders, shipping lines, couriers, and customs brokers to ensure smooth inbound and outbound logistics.
  • Maintain good relationships with industrial park authorities, management boards, and the Department of Planning & Investment.
  • Troubleshoot import/export obstacles and propose practical solutions to prevent recurrence.
Reporting & System Management
  • Prepare comprehensive reports on shipment performance, logistics costs, customs performance, and compliance status.
  • Utilize ERP systems (e.g., SAP, Oracle, or equivalent) to process transactions and maintain master data.
  • Perform continuous improvements to optimize import/export workflow and reduce operational costs.
REQUIREMENTS
  • Bachelor’s degree in business, international trade, or related field.
  • 2+ years of experience in import/export operations or a similar role in manufacturing company.
  • International training: 6 months in China, followed by a mandatory bonding agreement
  • Have integrity, is independent, self-motivated, accurate and able to lead and manage a team of accounts assistants.
  • Numeric, have effective oral and written communication skills in English and Vietnamese and good interpersonal skills.
  • Good working knowledge of standard computer software and ERP systems.
  • In-depth knowledge of import/export regulations and compliance requirements.
  • Strong organizational and time management skills.
