Job Summary:
The Logistics Team is responsible for the end-to-end coordination of all shipments moving to domestic distribution centers (U.S., Canada, and Europe) as well as all DDP customer-direct shipments. This role manages order tracking, milestone visibility, on-time bookings, OSCA-related tasks, and proactive exception resolution with carriers, forwarders, and internal teams. The position ensures accurate, compliant, and cost-effective transportation performance aligned with service-level expectations across multiple geographies.

The Logistics Coordinator is responsible for the end-to-end execution and visibility of international shipments moving from factories to company distribution centers in the United States, Canada, and Europe, as well as all DDP customer direct shipments. This role manages shipment planning, booking, milestone tracking, OSCA compliance, exception management, and communication with carriers, freight forwarders, suppliers, and internal stakeholders. The position
ensures shipments are executed on time, in compliance with customer and retailer requirements, while supporting cost effective transportation operations and service excellence.

Key Responsibilities:
1. Domestic & International Distribution Center Shipments
  • Coordinate all outbound shipments to company-owned or third-party DCs across the U.S., Canada and Europe.
  • Ensure shipments meet delivery windows, routing guide requirements, and customer/DC receiving standards
2. DDP Customer-Direct Shipments
  • Manage all Delivered Duty Paid (DDP) customer-direct shipments, including on-time booking and shipment to meet customer delivery requirements.
  • Oversee carrier compliance with DDP terms: duties, taxes, customs brokerage, and final delivery.
  • Communicate tracking details, exceptions, and deliver confirmations through proper channels.
3. Order Tracking & Visibility
  • Monitor all orders from confirmation with factory through delivery to port; maintain accurate tracking utilizing OSCA.
  • Track shipping milestones including booking, pick-up and delivery to port maintaining shipment visibility dashboards and weekly KPI reporting.
  • Proactively escalate delays and execute recovery plans with carriers and cross-functional partners.
4. On-Time Bookings & Shipment Execution
  • Ensure all shipments are booked on time and aligned with daily/weekly freight plans.
  • Manage carrier capacity, consolidation opportunities, and transit time adherence to ensure on-time performance.
  • Monitor factory cargo readiness and proactively identify risks to requested cargo ready dates (CRD).
  • Coordinate with freight forwarders to ensure timely booking against requested delivery dates (RDD).
  • Validate shipping documentation including commercial invoices, packing lists, ASN/FSN submissions, and customs-related requirements
5. OSCA Portal
  • Manage all OSCA-related tasks including:
  • Shipping window compliance
  • Document uploads
  • ASN/FSN compliance
  • Exception management
  • Train and support vendors/suppliers on OSCA execution where applicable
6. Train and support vendors/suppliers on OSCA execution where applicable.
  • Identify and implement process improvements that reduce cycle times and logistics costs.
  • Maintain logistics SOPs for domestic, Canada, Europe, and DDP shipping processes.
  • Support audit activities, carrier scorecards, and vendor compliance programs.
  • Support duty recovery, first-sale invoice program, and trade compliance initiatives where applicable.
  • Assist with carrier performance reviews and quarterly business reviews (QBRs).
  • Support transportation cost control initiatives and freight invoice discrepancy resolution.
Qualifications:
  • 2–4+ years of logistics, transportation, or supply chain experience.
  • Experience with DDP shipments and international documentation requirements.
  • Familiarity with TMS, retailer portals and OSCA or similar supply-chain visibility systems.
  • Experience dealing with and managing multiple carriers/forwarders and transportation modes
  • Strong communication skills with carriers, DCs, vendors, and customers.
  • Advanced Microsoft excel skills (pivot tables, Vlookup/Xlookup, reporting)
  • Fluency in Vietnamese and English, Mandarin is a plus
