• Establish adminstrative systems, workflows, forms, and SOP for the new factory.
• Lead and organize all administrative support functions, including reception, office management, security, safety, transportation, employee cafeteria, dormitory services, and the creation of a positive working environment for employees.
• Supervise, train, and mentor administrative staff; allocate tasks to improve team productivity.
• Manage assets, office supplies, cleaning and maintenance, and support service vendors; regularly inspect equipment performance, identify and resolve issues, and oversee repairs and backup operations.
• Liaise with government agencies to complete company registration, construction, fire safety, environmental protection, and other related administrative procedures.
• Manage internal and external public relations, maintain good communication with local authorities, and ensure compliance with Vietnamese laws regarding labor, environmental protection, and plant operations.
• Ensure that foreign employees' work visas and work permis comply with local regulations, and safeguard the confientiality and security of documents and data.
• Develop and implement the annual administrative budget, ensuring cost-effectiveness of all administrative support services.
• Prepare and complie statistical reports, KPIs, and management analysis reports, and submit them to senior management or regulatory authorities when required.
• Act as a strategic advisor to company executives on administrative matters, providing recommendations and improvement plans.
Job Requirements:
• Bachelor's degree or above in Administration, Business Administration, Law, Human Resources, or related fields.
• At least 10 years of relevant administrative management experience in large-scale manufacturing enterprises (>1,000 employees), including 5 years in managerial positions within global organizations, with extensive experience in Vietnam's manufacturing industry.
• Fluent in Mandarin; proficiency in English and/or Vietnamese is an advantage.
• Experience in factory setup is preferred.
• Familiarity with Vietnamese regulations and practical administrative operations.
• Strong communication, coordination, and negotiation skills; ability to handle contingencies and events, and effectively liaise with government agencies.
• Proven leadership and team-building abilities.
• Strong stress tolerance and the ability to manage multiple tasks simultaneously
