Job Summary:
The HR & Admin. Specialist supports day‑to‑day HR operations and office administration for the Ho Chi Minh City
branch. This role assists with recruitment, onboarding, team member support, compliance tasks, expatriate
coordination, and general office operations. The position reports to the Sr. Manager, Administration in China and
works closely with the U.S. headquarters and China offices to ensure smooth communication and adherence to
company policies.

Responsibilities:
1. Human Resources Support
Recruitment & Onboarding
  • Support recruitment activities: posting jobs, screening resumes, conduct initial interviews, write candidate reports, coordinating interviews schedules, and prepare offer documents etc
  • Assist with onboarding tasks including orientation, document collection, and company policy training.
  • Maintain accurate team member files and HR records.
Team member Relations & Compliance
  • Serve as a first point of contact for team member questions about policies, attendance, and leave.
  • Assist with probation tracking, contract renewals, and offboarding procedures.
  • Help ensure compliance with Vietnamese labor regulations by coordinating with external HR/payroll
  • vendors.
  • Support exit interviews and basic team member engagement activities.
Payroll & Benefits Administration
  • Coordinate monthly payroll inputs with third‑party payroll providers (attendance, leave, changes).
  • Assist with social insurance, health insurance, and PIT documentation.
  • Support administration of team member benefits, leave tracking, and company activities Work closely with Vietnam EOR on all HR and admin matters
Performance & Training Support
  • Help coordinate performance review timelines and collect required documents.
  • Assist in arranging internal training sessions or external workshops.
Expatriate Support (Assistance Level)
  • Support expatriates with document collection for visas, work permits, and residence cards.
  • Assist with basic relocation logistics (apartment viewing coordination, local orientation).
2. Office Administration
  • Support daily office operations including procurement, inventory, and vendor coordination.
  • Assist with payment processing, reimbursement submissions, and monthly expense tracking.
  • Coordinate logistics for meetings, events, and visitor arrangements.
  • Provide IT coordination support (liaising with corporate IT for setup or troubleshooting).
  • Maintain a clean, organized, and well-functioning office environment.
Requirements
Education & Background
  • Bachelor’s degree in HR, Business Administration, or a related field.
  • Knowledge of Vietnamese labor regulations and HR administrative processes.
  • HR credentials are a plus but not required.
Work Experience
  • Above 5 years of HR and/or office administration experience, preferably in a multinational company foreign company.
  • Minimum 3 years experience in recruitment
  • Experience working with cross-cultural teams is an advantage.
Language Skills
  • Proficient in English and Vietnamese (written and verbal).
  • Comfortable communicating with foreign colleagues and local authorities.
